Let’s be honest: staying focused is hard. Between constant phone notifications, a never-ending to-do list, and a brain that randomly reminds you to check that one website or reorganize your entire closet — it’s no wonder your attention span feels like it’s in survival mode.

In a world that’s always “on,” deep focus has become a rare superpower. But the good news? It’s something you can train. With just a few simple shifts, you can start creating an environment — and mindset — that supports better concentration and less distraction.

Whether you’re studying, working from home, or trying to finish that creative project, here are some easy and effective ways to improve your focus:

How to Improve Your Focus

1. Use Airplane Mode (or Do Not Disturb)

Your phone is your biggest focus killer — even if you think you’re good at ignoring it. A single message or notification can pull your brain out of deep work and make it 10x harder to get back in.

Try putting your phone on airplane mode or Do Not Disturb when you’re working. If you need it for music or timers, just silence all alerts. Bonus tip: place it out of sight (yes, even turning it face down helps!). But my best advice it to put it away and when you want to listen to music, you can use Cds/Vinyl or when you are working on your laptop/computer, just put Spotify on in the background.

2. Try the Pomodoro Technique

If you find yourself zoning out quickly, the Pomodoro Technique can be a game-changer. Here’s how it works:

Work for 25 minutes or longer

Take a 5-minute break

After 4 sessions, take a longer break (15–30 minutes)

These short bursts help you stay sharp without burning out. Set a timer, choose one task, and see how much you can get done in just 25 minutes. There are so many Pomodoro videos on YouTube you can use, some use also background music, while others don’t. With some of the videos you work for 25 and then take a five minute break, other videos let you focus for 50 minutes and then give you a 10 minute break. I personally use the 50/10, because once you are working, 25 minutes is very short.

3. Work During Your Peak Focus Hours

Not everyone is built for 9-to-5 productivity. Some people focus best in the early morning, others come alive at night. Pay attention to when your brain feels clearest and most energized — and try to schedule your most important work during those hours. I like to work in the morning. If I had a good night of sleep, I definitely have the best focus in the morning. I can get a lot things done in the morning. Which is nice, because when I am done, I still have the rest of the day to myself.

Protect that time like it’s a meeting with your future self.

4. Alternate Between Task Types

Working on the same thing for hours can actually make your focus worse. If you’re starting to feel mentally drained, switch to a different type of task. Alternate between creative work and admin tasks, screen work and paper tasks, thinking and doing.

This keeps your brain engaged without overwhelming it.

5. Drink Enough Water

It sounds too simple, but dehydration affects focus more than most people realize. Even mild dehydration can make you feel tired, foggy, and distracted. Keep a glass or bottle of water next to you and make a habit of sipping regularly — not just when you’re thirsty. I seriously bought a fake Stanley Cup for this. I don’t have to get up to get water all the time. The water is in my reach. Although it could be nice to get up every now and then and stretch your legs.

6. Use a “Later List” Notebook

Ever sit down to work and suddenly remember five other things you have to do right now? That’s your brain trying to multitask (bad idea). Keep a notebook or digital note nearby. Whenever you think of something that isn’t urgent but is distracting you, jot it down. You won’t forget it — and your brain can stop holding onto it. So when you are working and you suddenly realize you have to buy something at the grocery store, you just write it down. You can stop worrying about it.

7. Create a Focus-Friendly Soundtrack

Some people work best in silence, others thrive with music. If you’re easily distracted by background noise, try instrumental playlists, lo-fi beats, ambient soundscapes, or white noise. Apps like Brain.fm or Noisli are great for creating a sound environment that helps you concentrate. Personally, I like to listen to slower slongs by Taylor Swift, Billie Eilish and other artists. I have a whole playlist with slower songs and it really helps me to stay focused and because I use headphones, noises outside can’t distract me.

8. Clear Visual Clutter

Messy spaces can overwhelm your senses without you even realizing it. A clear desk = a clearer mind.

You don’t need to deep clean your entire room, but take 5 minutes to tidy up your workspace before diving into a task. It’s a small reset that can have a big impact. Every morning, after I wake up, I am make sure I clean up everything. Literally anything can distract me. So the less stuff I have around, the less I get distracted.

9. Create a Focus Ritual

Train your brain to know when it’s time to concentrate. This could be as simple as:

Lighting a candle

Putting on a specific playlist

Making a cup of tea

Wearing your “focus hoodie”

Over time, these little rituals create a mental cue: it’s time to work.

10. Don’t Underestimate Sleep

No productivity hack will help if your brain is running on empty. Lack of sleep affects your memory, concentration, and decision-making. Aim for 7–9 hours a night and protect your bedtime the way you protect your work meetings. I am familiar with sleeping problems, I had to create a whole relaxing evening routine for myself so I could finally have a good night of sleep. But when you have insomnia you realize how important sleep is. If I don’t get enough sleep, I make terrible decisions, I am less productive (I barely get anything done), my mood isn’t that great. Getting enough quality sleep every night is so important.

By mixing these strategies into your daily routine, you’ll start noticing your ability to focus improves — not because you’re forcing it, but because you’re finally supporting it.

Let your attention span thrive. It’s not about doing more — it’s about doing what matters with more presence.

Hey everyone! If you’re anything like me, you probably have a never-ending to-do list and not enough hours in the day to tackle everything. It can be frustrating to feel like you’re constantly playing catch-up. But don’t worry—I’ve got some tried-and-true tips to help you get more done in less time. Let’s dive in and start mastering the art of productivity!

How to Get More Done in Less Time and Increase Your Productivity

1. Prioritize Your Tasks

Make a To-Do List

Start each day by writing down everything you need to accomplish. Then, prioritize your tasks by importance and urgency. Focus on the high-priority items first.

Use the Eisenhower Matrix

This simple tool helps you categorize tasks into four quadrants: urgent and important, important but not urgent, urgent but not important, and neither. Spend most of your time on tasks that are important but not urgent to prevent them from becoming crises.

2. Time Blocking

Schedule Your Day

Break your day into blocks of time dedicated to specific tasks or activities. This helps you stay focused and avoid multitasking. For instance, set aside a block of time for checking emails, another for focused work, and another for meetings.

Use a Timer

Set a timer for a specific period (like 25 minutes of focused work followed by a 5-minute break). This technique, known as the Pomodoro Technique, can help maintain focus and productivity. You can find several Pomodoro videos on YouTube. There are ones with music in the background, but also the ones without music. I bet you can find a video that help with you productivity.

3. Minimize Distractions

Turn Off Notifications

Constant notifications can derail your focus. Turn off non-essential notifications on your phone and computer while you’re working. Your phone is a big distraction, so if you don’t need your phone it is better to put it somewhere else. It only will distract you. People on average check their phones around 60 times a day.

Create a Dedicated Workspace

If possible, create a workspace that’s free from distractions. Let others know when you’re in “do not disturb” mode. Or just turn your phone off if you don’t need it.

4. Delegate Tasks

Identify What Can Be Delegated

Look at your to-do list and identify tasks that someone else can handle. Delegating frees up your time for more important tasks. You don’t have to do everything by yourself. And it is okay to ask for help. It doesn’t make you weak.

Trust Your Team

If you’re working with others, trust them to handle delegated tasks. Micromanaging defeats the purpose of delegation.

5. Use Productivity Tools

Task Management Apps

Apps like Todoist, Trello, or Asana can help you keep track of your tasks and deadlines in an organized manner.

Note-Taking Apps

Use apps like Evernote or Notion to keep all your notes, ideas, and information in one place for easy access. I love using Notion for work-related stuff but also personal stuff. I just write everything down in the app and I just know what I have to do and when I have to do it. I also love making lists because it helps me feel organized. Before using Notion, I was all over the place and everything was chaotic. Now it feels like I have my life together.

6. Practice the Two-Minute Rule

Quick Wins

If a task will take less than two minutes to complete, do it immediately. This prevents small tasks from piling up and becoming overwhelming. I mean, it only takes two minutes and it really feels amazing if you can start the day by crossing several things off your to-do list.

7. Take Breaks

Schedule Breaks

Regular breaks can actually improve productivity. Use your break time to stretch, take a walk, or do something enjoyable to recharge. And it doesn’t mean you have to take an hour break every 3 hours or so. Even taking five minutes for yourself and drinking something each hour, can make you more productive.

Avoid Burnout

Working non-stop can lead to burnout. Breaks help maintain a healthy work-life balance and keep you refreshed. If your workday is done, let it go until tomorrow. Don’t think about it all night, because it will only cause more stress.

8. Learn to Say No

Protect Your Time

Don’t overcommit yourself. It’s okay to say no to tasks or meetings that aren’t a priority. I mean, it is exhausting when you say yes to everything. Check first with your own schedule to see if you have time to do it.

Focus on Your Goals

Saying no to less important tasks allows you to focus on what truly matters and aligns with your goals.

9. Batch Similar Tasks

Group Similar Activities

Batching similar tasks, like answering emails, making phone calls, or running errands, can save time and improve efficiency. It is less efficient when you answer one email, then move on to the next task, and then answer another email. When you focus on one task at a time, you will get into a flow and that means your productivity is even higher. I even group similar activities in my personal life. I am not going to the grocery store, then go home to clean and then go to another store. It makes sense to group them to save more time.

Set Specific Times

Set specific times in your day or week to tackle these batched tasks all at once. Maybe you want to get them out of the way before the weekend starts or maybe you want tackle these tasks first things first on a Monday.

10. Reflect and Adjust

Review Your Day

At the end of the day, take a few minutes to review what you accomplished. This can help you identify what worked well and what didn’t. Nobody is the same and everyone prefers a different approach. It takes time to find the right approach for you.

Adjust Your Approach

Use this reflection to adjust your strategies and improve your productivity moving forward.

Getting more done in less time isn’t about working harder; it’s about working smarter. By prioritizing tasks, minimizing distractions, and using productivity tools, you can make the most of your time and achieve your goals more efficiently. Give these tips a try and watch your productivity soar. Happy working!

Declutter Regularly:

One of the first steps toward staying organized is to declutter your physical and digital spaces. Start with your home or workspace. Go through your belongings and remove items you no longer need or use. This will free up space and make it easier to find what you’re looking for. The same goes for your digital life – clean up your email inbox, files, and apps. When you declutter, you will also start to feel better. If your home is cluttered, your mind is probably too.

Set Clear Goals:

To stay organized, you need to have a clear sense of what you want to achieve. Set both short-term and long-term goals, and break them down into smaller, actionable tasks. Having a sense of purpose and direction will help you stay on track and avoid feeling overwhelmed. The next time you start a new big project, divide it up into smaller goals.

Create a To-Do List:

A to-do list is a simple yet powerful tool for staying organized. Each day, jot down the tasks you need to complete. Prioritize them based on importance and deadline. Crossing items off your list as you complete them is satisfying and keeps you focused. I like to use Notion for most things. I have many lists for everything, including a to-do list for work and personal life. In the morning, I just can look at my to-do what I still have to do and start working.

Use a Planner or Calendar:

In addition to a to-do list, consider using a physical planner or a digital calendar to schedule your tasks and appointments. This will help you keep track of your commitments and prevent overbooking yourself. When I was still in school, I was the least organized person in my class and it did not make me feel great. I was always looking for certain papers and was not on top of my assignments. After school life, I became slowly more of an organized person. It actually makes me feel better as well.

Organize Your Space:

A well-organized physical environment can do wonders for your productivity. Invest in storage solutions like shelves, cabinets, and drawers to keep your belongings neatly arranged. Label items and create designated spaces for different categories of items. I do this with papers, and documents but also with other stuff. I also know where something is if I need it.

Digital Organization:

Your digital life can get just as cluttered as your physical space. Organize your files into folders with clear, descriptive names. Use software or apps to manage tasks, schedules, and notes. Regularly clean out your email and unsubscribe from newsletters that no longer serve you. Getting too many emails can be overwhelming, even when they are useless newsletters you never read.

Time Management:

Time management is a key component of staying organized. Learn to allocate your time wisely, avoiding procrastination and time-wasting activities. Consider using time management techniques such as the Pomodoro Technique or time blocking to maximize productivity. With Pomodoro, you stay focused on your task for 30 minutes or longer and then you get a 5-minute break. There are many Pomodoro videos on YouTube with timers that might help you

Delegate and Outsource:

You don’t have to do everything on your own. Delegate tasks when possible, and consider outsourcing certain activities that are not your strengths or that you don’t have time for. This can help you stay focused on what truly matters. This might not be an easy thing to do for everyone. Some people (like me) like to have control, but sometimes it is really better to ask for help. This frees up time for other things.

Stay Mindful of Your Habits:

Staying organized is not just about physical and digital spaces; it’s also about your habits. Be aware of time-wasting habits, such as excessive social media use, and take steps to reduce or eliminate them. Cultivate good habits like setting aside time for self-care and relaxation. Become aware of how you spend your day and then try to improve where necessary. I am going, to be honest and say I wasted a lot of time on social media, but I realized I found other things more important, and slowly I started to do those things instead of scrolling on social media.

Review and Adjust:

Staying organized is an ongoing process. Regularly review your systems and routines to identify areas where you can improve. Be flexible and willing to adjust your strategies as needed. Nobody is the same, so find out what is working for you and what is not. And remember nobody is perfect!

Photo by Domenico Loia on Unsplash

The post The Art of Staying Organized first appeared on Bettie Toon.

<p>The post The Art of Staying Organized first appeared on Bettie Toon.</p>
